1 Acceptance of Terms
These Terms of Service ("Terms") constitute a legally binding agreement between you ("Customer", "you", or "your") and GetFlowSuite ("we", "us", or "our") governing your access to and use of the GetFlowSuite platform, including OfficeFlow, ResourceFlow, and TimeFlow (collectively, the "Services").
By accessing or using the Services, you confirm that you are at least 18 years old, have the legal authority to enter into this agreement on behalf of your organisation, and agree to comply with these Terms.
2 Description of Service
GetFlowSuite is a cloud-based workplace management suite consisting of three integrated tools:
- OfficeFlow — Resource and workspace booking management for multiple offices
- ResourceFlow — Project allocation planning and team capacity management
- TimeFlow — Weekly timesheet logging and approval workflows
We reserve the right to modify, suspend, or discontinue any aspect of the Services at any time with reasonable notice. We will not be liable to you or any third party for any such modifications.
3 Accounts & Access
When you create an account, you are responsible for:
- Maintaining the confidentiality of your account credentials
- All activity that occurs under your account
- Ensuring that your employees use the Services in compliance with these Terms
- Notifying us immediately of any unauthorised use of your account
Each organisation has an isolated workspace. You may invite employees to join your workspace via the admin panel. Employees cannot create their own workspaces — they must be invited by an administrator.
You must provide accurate and complete information when creating your account and keep this information updated.
4 Free Trial
We offer a 14-day free trial for new accounts. No credit card is required to start a trial.
- Trial access includes all features available on the paid plan you select
- Your data is preserved after the trial ends — we will not delete it immediately
- After the trial expires, access to the Services will be suspended until a subscription is activated
- We reserve the right to modify trial terms or duration at any time
5 Payment & Billing
After your free trial, continued access to the Services requires a paid subscription. The following terms apply:
- Subscription fees are billed in advance on a monthly or annual basis
- All prices are listed in US Dollars (USD) unless otherwise stated
- Fees are non-refundable except where required by applicable law
- We reserve the right to change pricing with 30 days' written notice
- Failure to pay may result in suspension or termination of your account

6 Your Data
You own your data. All data you input into GetFlowSuite — including employee records, project allocations, bookings, and timesheets — remains your property.
- We will not sell, rent, or share your data with third parties without your consent
- Your data is stored securely using Google Firebase infrastructure
- You may export your data at any time using the export features in the admin panel
- Upon account termination, we will retain your data for 30 days before deletion
- We process your data only as necessary to provide the Services
By using the Services, you grant us a limited licence to store, process, and display your data solely for the purpose of providing the Services to you.
7 Acceptable Use
You agree not to use the Services to:
- Violate any applicable laws or regulations
- Transmit any harmful, offensive, or unlawful content
- Attempt to gain unauthorised access to other users' workspaces or data
- Interfere with or disrupt the integrity or performance of the Services
- Reverse engineer, decompile, or attempt to extract the source code of the Services
- Resell or sublicense access to the Services without our written permission
- Use the Services to build a competing product
8 Intellectual Property
The Services, including all software, design, logos, and content, are owned by GetFlowSuite and protected by copyright and other intellectual property laws.
We grant you a limited, non-exclusive, non-transferable licence to access and use the Services during your subscription period, solely for your internal business purposes.
You retain all rights to your data and content. You grant us no intellectual property rights over your data beyond what is necessary to provide the Services.
9 Limitation of Liability
To the maximum extent permitted by applicable law:
- The Services are provided "as is" without warranties of any kind
- We do not warrant that the Services will be uninterrupted, error-free, or completely secure
- We shall not be liable for any indirect, incidental, special, or consequential damages
- Our total liability to you shall not exceed the amount paid by you in the 12 months preceding the claim
Some jurisdictions do not allow certain limitations of liability. In such cases, our liability will be limited to the greatest extent permitted by applicable law.
10 Termination
Either party may terminate this agreement at any time:
- You may cancel your subscription at any time by contacting us at contact@getflowsuite.com
- We may suspend or terminate your account for breach of these Terms, non-payment, or misuse of the Services
- Upon termination, your access to the Services will cease and your data will be retained for 30 days before deletion
- Provisions that by their nature should survive termination (including data, IP, and liability sections) shall survive
11 Changes to Terms
We may update these Terms from time to time. When we do, we will:
- Update the "Last updated" date at the top of this page
- Notify account administrators by email at least 14 days before material changes take effect
- Provide a summary of what has changed
Your continued use of the Services after changes take effect constitutes acceptance of the revised Terms. If you do not agree to the updated Terms, you must stop using the Services and cancel your subscription.
